Administrative Assistant / Receptionist Jobs in Coral Gables, FL at Regis HR Group
Key Responsibilities:
Calendar management for executives, clients, team members, consultants, etc.
Ability to organize, schedule and prioritize tasks, appointment and event to optimize time and ensure efficiency.
Responsible for reception duties, including greeting clients and vendors
Prepare conference rooms for in-house meetings
Answer and prioritize phone calls, ensuring seamless communication
Organize and coordinate team-building events to foster collaboration
Schedule FedEx/courier services and manage transmittals for outgoing documents
Cultivate strong working relationships with clients, customers, and consultants
Qualifications:
2-5 years of office administration or secretarial experience
Expertise in MS Office Suite (5+ years)
Tech-savvy with a strong ability to learn new software quickly
Previous experience in Marketing within the Architecture, Engineering and Construction industry is a plus
Proven ability to perform well under pressure and meet tight deadlines
Strong attention to detail and accuracy
Highly organized and able to manage multiple tasks efficiently
Must be authorized to work in the United States
