Administrative/Marketing Assistant (30 hrs/wk)
Klepper, Hahn and Hyatt is seeking a part-time administrative/marketing assistant to provide ongoing administrative support to Principals and technical staff as requested to support firm objectives. This includes, but is not limited to, photocopying, scanning, and filing; performing research; and assisting in the planning of meetings, presentations, and other events or special projects.
Essential Job Duties and Responsibilities:
Develop & write copy for promotional and informational marketing materials including, but not limited to, brochures, social media and website.
Write, edit and proofread technical documents for spelling, grammar, and layout, making appropriate changes.
Maintain and update various administrative databases, logs, and calendars.
Create and edit the design and layout of firm graphics, photos, artwork, and content for presentation materials, advertisements, award submissions, and other firm materials.
Coordinate submission teams and create and refine materials for Request for Proposals (RFPs), Requests for Qualifications (RFQs), and award submissions.
Assist with digital marketing efforts including website updates, newsletter creation and distribution, and social media.
Answer incoming calls and route calls to appropriate person as needed.
Greet and acknowledge visitors in a timely, hospitable and friendly manner.
Handle the receipt, sorting, and distribution of incoming mail and packages.
Minimum Qualifications:
High school diploma or equivalent required, a college degree is preferred.
Previous admin and marketing experience preferred.
Computer proficiency, including Excel, Word, and Adobe Acrobat.
Must maintain regular and acceptable attendance.
Must be available and willing to work such overtime as necessary.
Knowledge, Skills, and Abilities:
Excellent organizational skills to set priorities, organize workload, handle multiple responsibilities and meet deadlines.
Strong oral and written communication skills to interact with clients, vendors, and co-workers professionally.
Ability to design infographics, marketing brochures and other digital marketing collateral.
Ability to proofread for grammar, spelling and punctuation with a high degree of accuracy.
Analytical ability to gather and summarize data, find solutions to problems, and prioritize work.
Equipment Used: Computer, printer, photocopier, fax machine, multi-line telephone, scanner, calculator.
Computer Software: Microsoft Office including Word, Outlook, Excel;
Adobe Acrobat, and Photo Shop.
Physical and Mental Demands:
Ability to see, talk, hear, sit, stand, walk, use hands or fingers to grasp, handle or feel objects.
Ability to exert up to 30 pounds of force occasionally.
Close mental and visual attention required to perform work dealing primarily with calculating, analyzing, and interpreting data.
