Job Title: Marketing Sales Coordinator

The Marketing Sales Coordinator plays a pivotal role in driving occupancy and enhancing the overall resident experience and promoting our senior living community. The Marketing Sales Coordinator is responsible for developing and executing comprehensive sales strategies to attract prospective residents and families, cultivate relationships with referral sources, and ensure the ongoing success and growth of our community. The Marketing Sales Coordinator works in partnership with the Director of Marketing.

Essential Functions

1. Responsible for providing support and guidance to the Move-In Coordinator and the Marketing Director. Works with the Executive Director and St. Andrew’s support staff in identifying, hiring, and training of the sales and marketing team.

2. Focuses on sales and achieving census goals under the supervision of the Executive Director and St. Andrew’s support staff and development.

3. Assists in coordinating and overseeing community outreach schedule.

4. Creates awareness and referral sources to help achieve census goals.

5. Assists in designing quarterly marketing schedules of specific marketing events and updates each month.

6. Conducts tours from set appointments and walk-ins.

7. Provides coverage on campus as needed to support traffic then receives prospect inquiries and coordinates timely follow ups via the phone, email, mailings, and meetings.

8. Assists with community marketing to referral sources and maintains relationships with key people.

9. Assists in planning and advertising/media schedule to be consistent with advertising budget.

10. Assists the Director of Marketing with media campaigns and public relations strategies and works with the Executive Director and St. Andrew’s support staff with the media plan, i.e. media contacts, feature story opportunities, direct mail, newsletters, press releases, social media, website development, radio and print advertising, community outreach, and major events planning.

11. Timely/consistent communication with waitlist prospects.

12. May at times be required to attend various health care organizations, city chamber meetings and professional group meetings.

13. Responsible for updating the Competitor Analysis annually.

14. Maintains census information for the development of a weekly census report.

15. Sets up and supervises all sales office schedules, procedures, and systems.

16. Supports the planning and hosting of Prospects, Referrals, and Business events, including Passport To Travel guests.

17. Assists with the follow through of resident relations through admission, closing paperwork, and welcome protocol.

18. Assists the Marketing Director and Move-In Coordinator by supporting residents and families through the move-in process and makes every effort to help with resident and family concerns to ensure positive customer service relations.

19. Works closely with the Faith community nurse in exchanging information regarding new admissions, transfers, move-outs, and community events.

20. Monitors completion of all sales and marketing tracking systems and reports acquired by corporate office, includes but may not be limited to census data, Digital Strike, Welcome Home, residents screening and customer services checks with the Leadership Team.

21. Works within an annual budget. Manages the coordination and ordering of promotional items and resident’s gifts.

22. Manages codes and submits all account payables in a timely manner to the Executive Director.

23. Assists with the annual marketing plan in cooperation with the Executive Director and St. Andrew’s Support.

24. May serve as a representative of Cape Albeon for special events.

25. Complies with all federal, state, and local regulations as outlined in the Corporate Compliance Program Manual, inclusive of HIPAA/HITECH requirements.

26. Follows Residents’ Rights policies and maintains residents’ confidentiality.

27. Follows personnel guidelines in the employee handbook, facility’s policies, and procedures as appropriate, including, safety and disaster preparedness and in-service education and training requirements.

28. Coordinates the set-up for Senior Resource Fairs throughout the St. Louis area and activities with the Faith Community Nurse.

29. Maintains the marketing storage areas in an orderly manner and display/ guest apartment in a presentable and promotional manner.

30. Attends meetings with the marketing team, Executive Director and St. Andrew’s support directors as required.

31. Works evenings and weekends as required.

Special Requirements of the Position

This individual must be goal oriented and must be able to work with people effectively through the sales process. The individual must be customer oriented with the ability to be pleasant, cheerful, tactful, and courteous when dealing with the public. Must be able to perform the physical and environmental requirements on the attached sheet. Experience in marketing of retirement communities and residential care facilities is preferred. Must be focused, organized, computer literate, and high energy.
