Position Summary
The Sales and Marketing Operations Specialist is responsible for providing operational support to the sales and marketing team by managing key processes, maintaining CRM systems, and ensuring the smooth execution of administrative tasks. This role focuses on enhancing team efficiency by updating sales documentation, tracking lead progress, and supporting the coordination of meetings, events, and trade shows. The Sales and Marketing Operations Specialist also assists with data entry, sales reporting, and proposal development while supporting the continuous improvement of sales processes and workflows. The Sales and Marketing Operations Specialist reports to the Chief Marketing and Communications Officer.
Job Duties & Responsibilities
Maintains HubSpot CRM and acts as a liaison for HubSpot troubleshooting and technical support. Sets up all new licenses/users and supports sales sequence and workflow development.
Documents critical sales and marketing processes to ensure consistency for team and training needs. Supports process improvement initiatives.
Enters and manages key departmental data, including metrics, sales figures, and other essential information.
Handles data entry, lead assignments, and list management for trade shows, events, webinars, and campaigns.
Updates lead lists on deal status to ensure accurate documentation on deals and ROI
Monitors industry news and distributes relevant news to executive and sales staff
In collaboration with Marketing Manager, creates and posts branded and industry content to social media profiles.
Supports the development of proposals and presentations for enterprise-level deals, using provided marketing templates
Builds and maintains the support documentation that enables the sales process, e.g., End Use Agreement, Proposal and Pricing templates and/or databases
Supports the RFP/Proposal process, including response generation, formatting, printing, packaging, and delivery of proposals. Assists in managing timelines and stakeholder input.
Responds to low volume sales inquiries with prospects, provides them with service fee schedule and set-up instructions, supports basic service selection and end user agreements, escalates to sales executives as needed.
Acts as a liaison between Sales, Marketing, and Operations so the sales team is armed with the most recent product, process, and protocol documentation.
Handles all administrative duties for the sales and marketing department or team, including but not limited to scheduling client conferences and meetings, coordinating travel schedules, booking for trade shows and events.
Coordinates all contracts, reservations, shipping and logistics of booth and materials for trade shows
Monitors marketing materials inventory and works with print, promotional, and trade show vendors to order new materials
Supports agenda development, note-taking, and action item follow-up for key sales and marketing meetings.
Tracks and shares key business metrics by generating sales and marketing performance reports to sales management, ELT, and the Board
Provides general forecasting support, deck preparation, and helps develop operating cadence around accurate forecasting for ELT and Board reports
Knowledge, Skills, and Abilities
Advanced knowledge and proficiency in Microsoft Office Suite, particularly Word, PowerPoint, and Excel.
Exceptional written and verbal communication skills with the ability to convey ideas creatively and effectively.
Ability to build relationships through strong networking skills and friendly disposition
Detail-oriented with solid organizational and multitasking skills
Ability to manage and meet short and strict deadlines while maintaining quality work.
Strong systems proficiency with the capacity to learn and utilize other software platforms to enhance marketing efforts

Flexibility to occasionally work outside regular business hours as needed.
Travel
No travel is regularly expected for this position.
Supervisory Responsibility
This position has no direct report management responsibilities.
Education
Certificate in business, marketing, or related degree; post-secondary degree preferred.
Qualifications
2 years of experience in a sales or marketing support role.
Experience working in a growth-stage organization is preferred.
Experience with marketing automation tools and building sales-connected workflows within CRM (Hubspot preferred).
Experience with online analytics tools/dashboards and KPI tracking
This is primarily a remote role; The ideal candidate would have the ability to commute to our office in Wauwatosa, WI up to 5 times per month.
