Position Overview:
The Development Operations Specialist is responsible for facilitating and optimizing departmental processes in support of stewarding donated funds and increasing fundraising revenue. This position manages the day-to-day operations of MCPL’s Fundraising and Development team to improve the overall effectiveness and accuracy of fundraising efforts through the oversight of the Customer Relations Management (CRM) database and provision of administrative support, internal communications, and logistical support of development-related activities.
Essential Functions:
Accurately performs and monitors the financial functions relevant to fundraising including processing donations, tracking deposits, managing external charitable payment accounts, reconciling accounts, preparing deposits, tracking revenue and expenditures, and reporting on financial activity across all charitable accounts
Serves as the primary Development liaison with the Finance Department
Oversees, manages, and ensures the integrity of CRM database and related information including accurate donor and gift entry and generation of reports and mailing lists to support Development team efforts
Creates, edits, and produces all aspects of the gift acknowledgement process including, but not limited to, acknowledgement letters, pledge payment reminders, year-end charitable reports, and tax receipts
Manages internal communications efforts including maintaining the Development page on SharePoint
Tracks and monitors grant activity, communicates grant deadlines and other information with relevant departments, and collate data for grant reporting
Provides overall departmental support
Monitors and meets all relevant registration and filing deadlines relevant to MCPL charitable accounts and the MCPL Foundation
Manages various assignments related to department productivity including, working with vendors, placing orders, creating timelines, and documenting departmental procedures
Supports the production of bulk mailings and regularly updates relevant mailing lists
Coordinates all fundraising-related merchandise orders, sales, and fulfillment
Schedules and coordinates meetings, produces meeting materials, and takes minutes as needed
Prepares briefings for meetings with donors and prospects
Assists the Fundraising and Development Team members in executing fundraising events and other development-related projects
Non-Essential Functions:
Assists with tracking and monitoring departmental supplies and inventories
Proofs and edits a variety of development-related materials
Education and Experience:
Associates degree or higher, or High School equivalency with additional relevant experience in a field that demonstrates an ability to think critically, communicate well, and prove information accurately.
Bachelor’s degree preferred.
Two or more years of financial accounting or fundraising/development experience required.

Job Knowledge
Demonstrated proficiency in recording and acknowledging charitable gifts in accordance with industry best practices.
Intermediate proficiency with accurate and detailed recordkeeping.
Strong organizational skills and excellent attention to detail.
Technology expertise with specific applications and hardware:
Intermediate knowledge of CRMs and its modules or similar donor database.
Basic understanding of donor data entry and management to perform this job at a satisfactory level.
Ability to accurately record, maintain, and report on donor data .
Intermediate knowledge of Microsoft Office 365 and additional applications.
Ability to produce acknowledgement letters, reports, meeting notes, etc. using various platforms is necessary to perform this job at a satisfactory level.

Ability to consistently demonstrate professional and effective verbal and written communication skills.

Demonstrates intermediate proficiency in the ability to maintain effective and collaborative working relationships within the Development Department team, as well as with all MCPL departments and service units.

Ability to maintain strong relationships with donors, partners, and co-workers.
Ability to maintain confidentiality regarding donor and library customer records.
Age Requirement:
Must be at least 18 years of age
Motor Vehicle Requirement:
Possession of a valid driver’s license and a reliable personal vehicle for use in carrying out the duties of this position including transportation of materials and equipment (mileage reimbursed)
Work Environment:
Works primarily indoors with prolonged periods of sitting at a desk, working on a computer, and must have a reasonable tolerance for dust, mold, scents, allergens, and communicable diseases which enables the employee to handle library materials, work in older buildings and interact with coworkers and the public.
