Job Description
Therapy Flow is expanding its core service offerings, and we are seeking a Client Appointment Specialist to help our clients convert inbound leads into booked appointments. This role is responsible for live answering inbound calls, following up with potential leads, and managing the sales process on behalf of our clients. The ideal candidate is proactive, sales-oriented, and customer-focused, ensuring a seamless experience for both our clients and their prospective patients.
You will be working on multiple clients at a time, the ability to manage multiple pipelines with unique criteria is a must.
Responsibilities
Lead Engagement & Follow-Up:
Answer inbound calls in real-time and provide friendly, knowledgeable assistance to prospective patients.
Conduct outbound follow-up calls, texts, and emails to nurture leads and drive conversions.
Qualify leads based on established criteria and ensure they are scheduled appropriately with the right clinician.
Track and manage lead progress, ensuring consistent follow-ups and high booking rates.
Sales & Conversion Optimization:
Maintain a deep understanding of Therapy Flow’s clients, their services, and their ideal patient base.
Utilize leadership and action oriented communication techniques to engage potential patients and address objections.
Implement and refine scripts and sales strategies to optimize conversion rates.
Identify bottlenecks in the booking process and collaborate with leadership to improve outcomes.
Operational Excellence & Reporting:
Maintain accurate records in CRM systems, tracking lead status, booked appointments, and follow-up actions.
Collaborate with internal teams to align appointment scheduling with each client’s availability.
Provide feedback on trends, objections, and opportunities for improvement in lead handling.
Ensure timely and professional communication with both leads and Therapy Flow’s client teams.
What You’ll Need to Succeed
2+ years of experience in customer service, sales, or appointment scheduling.
Proven ability to handle inbound and outbound calls with professionalism and confidence.
Strong sales and persuasion skills with a focus on lead conversion.
Excellent verbal and written communication skills.
Proficiency in CRM and scheduling software (experience with GoHighLevel a plus).
High level of organization, attention to detail, and ability to manage multiple leads simultaneously.
A proactive, problem-solving mindset with a drive to exceed booking targets.
