POSITION PURPOSE:
The Sales, Marketing and Events Coordinator’s primary responsibility is to assist the sales, marketing and catering teams by providing support to the sales manager, executive meeting manager, banquet & catering team as well as the DOSM. In this multifaceted role, the Sales, Marketing and Events Coordinator will be tasked, but not limited to, the following responsibilities:

EXAMPLES OF DUTIES:
Transitions group booking from sales manager seamlessly; including one on one meeting with sales manager to familiarize with the program and client
Insuring Delphi/Opera inventory is updated and accurate at time of file turnover based on contract.
Confirm important details with client: upon receipt of signed contract, reconfirming cutoff date, room block, deposits, and other miscellaneous details; sets traces in Delphi accordingly
Review all clauses in contracts, addressing any potential inventory, payment, etc. issues at time of recognition.
Monitors Room Blocks in tandem with reservations coordinator; provide pick up updates on a regular basis to Director of Revenue and revise as needed
Up Selling of Program including amenities, suites, special requests, transportation, F&B, decor, etc.
Prepare and distribute group resumes
Attend all resume meetings to review all group details to hotel departments
Prepare all BEOs relative to group if not rooms only; receiving client sign off and distributing to relevant departments
Responsible with reservations coordinator for timely receipt and processing of all rooming lists prior to cut off date
Oversees all pre-arrival information, check in arrangements, billing procedures, changes and any discrepancies directly with client and departments.
Clear communication with Executive Chef and Banquet Department on program/setup/dietary requirements
Processes all necessary paperwork to ensure any and all revenue losses (attrition/cancellations) are documented and confirmed with client and accounting/Revenue.
Key contact maintaining ownership of program details from time of arrival to departure.
Ensure banquet events run seamlessly in tandem with banquets department while meetings are taking place.
Prepare for and oversee all pre convention meetings if applicable.
Prepares meal vouchers when necessary.
Communicate VIP arrivals, pre-key requirements to relevant departments
Ensuring that all banquet checks are accurate post event
Preparation of final billing and payment with accounting
Post audit pick up reports for citywide housing blocks
Final follow up thank you with client

SUPPORTIVE FUNCTIONS:
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.
Coordinate all requirements for various groups booked by the Sales and Catering Departments.
Ensure satisfaction of client at the outset of all events.
In this role, will also be responsible for enforcing the terms of sales agreement and guiding meeting planners through the planning process, ultimately ensuring their satisfaction.
Communicates the needs and expectations of the client with all departments in the hotel.
Assists the sales, executive and catering teams with preparation of site rooms
Assist with phones, distribution of leads and acts as lead catcher
Occasionally assist the DOSM with marketing initiatives supported by the brand to include social media efforts, execution of creator requests via Jerne.com platform and any other marketing related tasks as deemed necessary.

QUALIFICATION STANDARDS:
EDUCATION
High School graduate or equivalent required. College degree preferred.

EXPERIENCE
Minimum of (3) years in hotel sales, catering and/or banquets department preferred. Must be able to work all shifts including weekends and holidays, as business demands dictate.
