Overview

We are seeking a highly organized and driven Project Manager who leads and coordinates projects using Wrike, ensuring successful execution from start to finish. The Project Manager will have a deep understanding of project management principles, the ability to manage team members and ensure that all project deliverables are met on time and within scope. As the key point of contact for both internal teams and clients (during the web development phase), this role requires excellent communication, organizational, and leadership skills.

Key Responsibilities

1. Initial Project Set-up

Set up new projects in Wrike.
Coordinate with team members to ensure smooth onboarding of new clients and projects.
Ensure that all project details, timelines, and deliverables are accurately reflected in Wrike.

2. Communicate with the Sales Team

Collaborate with the Sales Team to gather keynotes and background information from the sales process.
Ensure all client and project information is properly documented and included in Wrike to avoid information gaps.

3. Client Communication During Project Phase

Serve as clients’ primary point of contact throughout the web development project.
Provide weekly updates to clients regarding project status, timelines, and action items.
Assist clients with technical questions (e.g., domain names, email, website hosting).
Ensure prompt and clear communication to manage client expectations and resolve issues.

4. Schedule and Conduct GO! Meetings

Lead meetings to review project progress, assess next steps, and ensure client and team alignment on project milestones.

5. Project Strategy, Planning, and Management

Define and manage the project scope, objectives, and deliverables in collaboration with clients and internal teams.
Develop detailed project plans to guide execution and deliver success.

6. Manage Schedules and Timelines for New Projects

Monitor and manage project schedules, ensuring tasks are on time and holding teams accountable for deadlines.

7. Risk Management

Identify potential risks and challenges in each project.
Develop proactive mitigation strategies to ensure smooth project delivery.

8. Documentation

Maintain comprehensive project documentation, including project plans, status reports, and meeting notes.
Pay special attention to areas where issues arise, documenting them for process improvement and future team training.

9. Client Care / Relationship Management

Foster and maintain strong relationships with clients during the development phase.
Ensure clients feel valued and address their questions or concerns promptly.

10. Team Coordination / Management / Collaboration

Assign tasks and responsibilities to team members, ensuring they are aligned with project goals and deadlines.
Direct and support a Project Coordinator who reports to you, ensuring their tasks are completed efficiently.

11. Quality Assurance / Standards Compliance

Ensure that all deliverables meet the company’s quality standards and exceed client expectations.

12. Process Improvement

Continuously evaluate project outcomes to identify areas for improvement.
Implement best practices and processes to enhance project efficiency and team performance.

13. Training

Provide guidance and training to team members on Wrike and other project management methodologies.
Ensure strong communication and accountability across all teams.

14. Innovation

Proactively propose new ideas and solutions to enhance project outcomes and agency capabilities.

Decisive Leadership: Make timely and informed decisions, especially in high-pressure situations, to keep projects and initiatives moving forward effectively.
Training and Development: Provide ongoing training, coaching, and mentorship to team members, identifying skill gaps and offering support to ensure both personal and professional growth.
Accountability: Promote a culture of accountability by holding yourself and your team responsible for meeting goals and delivering high-quality results. This includes conducting fair and objective performance reviews.
Adaptability: Respond to challenges with flexibility, adjusting strategies as needed to maintain productivity and guide the team through change.
Problem-Solving Abilities: Lead the team in identifying, analyzing, and resolving issues efficiently, especially when faced with unexpected challenges.

Qualifications

Must be experienced using Wrike Project Management Software
Proven experience in project management roles.
Proficient in Wrike or similar project management software.
Strong understanding of project scope, task delegation, and team coordination.
Excellent communication skills, both written and verbal.
Strong organizational skills with a high attention to detail.
Ability to manage multiple projects and deadlines simultaneously.
Leadership skills to manage team members and ensure tasks stay on schedule.
Experience in client communication and relationship management.

Preferred Qualifications

Experience managing digital projects (web development, marketing, etc.).
Background in risk management and process improvement.
Knowledge of technical aspects such as domain names, hosting, or email setup.

Reports To: Director of Operations

Job Type: Full-time

Pay: $70,000.00 – $84,000.00 per year
