Position Overview

The Events and Marketing Senior Specialist will lead the execution of BioIVT’s hosted event programs, guiding each initiative from concept development through venue sourcing to post-event analysis and reporting. This role involves close collaboration with internal stakeholders and the marketing team to manage event communications, promotions targeted to specific audiences, attendee registration, logistics, and various other components for both in-person and virtual events. Additionally, the Specialist will oversee the creation and distribution of targeted email marketing campaigns, including maintaining distribution lists and engaging internal stakeholders to support event promotion.

This role requires a proactive, creative thinker with a strong background in marketing communications and event project management. The ideal candidate will excel at organization, thrive in a fast-paced environment, and collaborate effectively with cross-functional teams. They should be adept at managing multiple projects simultaneously, prioritizing tasks efficiently, and staying informed about industry trends, best practices, and emerging tools. Strong communication and presentation skills are essential, as the role requires clear interaction with team members and internal stakeholders.

Duties and Responsibilities

Lead the sourcing and evaluation of strategic in-person events and sponsorship opportunities to align with BioIVT’s business goals.
Develop and maintain a competitive events calendar, ensuring alignment with industry trends and organizational priorities.
Manage vendor communications and negotiations, including speaker acquisition, contract management, and agenda development to support successful event execution.
Identify and leverage appropriate promotional channels for owned events, such as LinkedIn Groups and industry organizations, to maximize visibility and attendance.
Oversee the organization, inventory, and logistics of event materials, ensuring seamless coordination for shipping, setup, and return of assets after events.
Ensure flawless execution of events by managing service quality, timelines, and the delivery of all necessary components, materials, and properties.
Provide on-site event support, including setup, tear-down, and real-time issue resolution to ensure a professional and impactful experience.
Innovate and propose creative event formats and strategies to enhance audience engagement and deliver measurable business outcomes.
Foster clear and proactive communication with customer-facing teams to drive attendance and facilitate effective pre- and post-event follow-up.
Monitor and share industry best practices, trends, and tools to continuously improve event strategies and execution.
Support the development and optimization of event-related content, including promotional materials, speaker presentations, and attendee communications.

Qualifications

Bachelor’s degree in Marketing, Communications, Event Management, or a related field.
5+ years of experience in B2B marketing, communications, and/or event marketing.
Experience in Life Science Industry preferred but not required
Proven expertise in managing both in-person and virtual events.
Strong project management skills with a track record of managing multiple projects simultaneously.
Excellent written and verbal communication skills, with the ability to create original content and edit the work of others.
Proficient in Microsoft Office (Word, PowerPoint, Excel, and Outlook).
Familiarity with project management tools, such as Asana.
Experience with customer sentiment analysis tools like Qualtrics.
Working knowledge of martech platforms, including Cvent, GotoWebinar, and HubSpot.
Experience with CRM and lead management tools, such as iCapture and Salesforce.
Experienced in developing and executing email marketing and social media campaigns.
Self-motivated with high energy and the ability to drive results.
Ability to lift up to 40lbs.
