Job Description:

We are looking for a highly organized and proactive Executive Assistant to work closely with our CEO. As the CEO’s shadow, you will attend all meetings, manage tasks to ensure nothing slips through the cracks, and draft communications to enhance the CEO’s efficiency. This role offers a unique opportunity to gain insights into executive leadership and contribute to our organization’s success.

Duties/Responsibilities:

Provides high-level administrative support and assistance to the CEO and COO

Performs clerical and administrative tasks, including drafting letters, memos, invoices, reports, and other documents

Manage travel arrangements and expenses, consistently optimizing travel logistics and processing with minimal oversight

Consistently maintaining the highest level of confidentiality with sensitive documents & information

Using a quick approach to prioritizing tasks effectively, with the ability to align fully with the CEO’s speed, schedule, and pace

Manages email inbox for the CEO

Schedules and attends meetings on behalf of the CEO, taking notes and recording minutes

Receives incoming communications on behalf of the CEO, reviews contents, determines the importance, and summarizes and/or distributes contents to the executives or appropriate department

Performs additional administrative duties and/or projects as assigned by the CEO and COO

Required Skills/Abilities:

Excellent verbal and written communication skills

Excellent organizational skills and attention to detail

Excellent time management skills with a proven ability to meet deadlines

Ability to function well in a high-paced and, at times, stressful environment

Able to type a minimum of 50 words per minute

Extremely proficient with Google Suite or similar software with the ability to learn new or updated software

Education and Experience:

Proficiency in the English language and English writing

Excellent verbal and written communication skills

Excellent organizational skills and attention to detail

Excellent time management skills with a proven ability to meet deadlines

Ability to function well in a high-paced and, at times, stressful environment

Able to type a minimum of 50 words per minute

Extremely proficient with Google Suite or similar software with the ability to learn new or updated software

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer
