We are seeking a highly organized and detail-oriented Associate Director of Special Events to lead the planning, coordination, and execution of our signature patient advocacy events, including Family Days, the 5K Run & Walk for Kids Growth, and the Say No Bullying Festival and gala. This role is ideal for someone passionate about patient advocacy, experienced in event management, and skilled at building strong relationships with volunteers, sponsors, and the broader community.

Key Responsibilities

Event Planning and Coordination

Lead the strategic planning, logistics, and execution of all HGF special events, ensuring they align with the organization’s mission and goals.
Develop comprehensive event plans, timelines, and budgets to ensure seamless operations.
Oversee event venues, vendor contracts, permits, and compliance requirements.
Manage event-day logistics, including setup, execution, and post-event breakdown.
Collaborate with the marketing team to promote events and increase participation.

Volunteer Recruitment and Management

Recruit, train, and coordinate event volunteers, ensuring they are well-equipped to execute their roles effectively.
Build strong relationships with volunteers and recognize their contributions.
Develop strategies to retain and grow the volunteer base year after year.

Fundraising and Sponsor Engagement

Identify and cultivate relationships with sponsors, donors, and local businesses for event support and funding.
Create and deliver compelling sponsorship proposals and donor materials to attract new partnerships.
Ensure all sponsorship agreements are fulfilled and sponsors are recognized appropriately during events.
Work collaboratively with the development team to align events with broader fundraising goals.

Stakeholder Collaboration

Serve as a point of contact for families, attendees, vendors, and community partners.
Engage with patient advocacy groups, educators, and other stakeholders to ensure events promote awareness and education about growth disorders and bullying prevention.
Collect feedback from stakeholders post-event to continuously improve planning and execution.

Administrative and Reporting

Track expenses and maintain accurate financial records for all events.
Create detailed post-event reports, evaluating outcomes against goals.
Maintain event archives, including photos, attendee data, and other documentation.

Qualifications

Bachelor’s degree in event management, nonprofit management, business, communications, or related field.
5+ years of experience in event planning, fundraising, or nonprofit program coordination.
Proven success in organizing large-scale community events, runs/walks, or festivals.
Strong leadership and volunteer management experience.
Excellent organizational and time-management skills with attention to detail.
Outstanding communication and interpersonal skills.
Ability to multitask and work under pressure in a deadline-driven environment.
Proficiency with Microsoft Office, event management tools, and CRM software is a plus.

Pay: $55,590.00 – $64,800.00 per year
