Summary of Principal and Major Responsibilities:

Supports the organization’s mission by coordinating and implementing events while managing communications and marketing initiatives. This role ensures effective event execution, engaging content creation, and strategic community outreach to strengthen organizational connections.

Pay Status: NON-EXEMPT – This position is subject to the overtime provisions of the Fair Labor Standards Act (FLSA).

Principal Duties and Responsibilities (Essential Functions)

Event Planning and Execution

Event & Engagement Support:

Collaborate to develop event concepts and ensure that event objectives are clearly understood and met.
Implement in-person and virtual events, including but not limited to commemorative celebrations, receptions, community gatherings, special feasts, and convocations, under the guidance and direction of the DIMC.
Manage event logistics, including venue, vendor and volunteer coordination, catering, registration, and scheduling, with regular updates to DIMC on progress and challenges.
Assist in creating event materials, such as invitations, agendas, signage, and programs, ensuring alignment with the department’s vision and the organization’s mission.
Handle on-site event management and post-event wrap-up, including attendee follow-ups and event evaluation.
Associates in the US, MEX, and beyond:
Support in implementing events for CDP outside of San Antonio, Associates and CDP in Mexico and beyond.
Support GC Office Manager in coordinating venue arrangements, travel logistics, accommodations and schedules.
Provide on-the-ground or virtual event management support, ensuring smooth execution of activities and being the primary point of contact for any event-related needs.

Communications Support:

External:

Content Creation: Develop engaging content for newsletters, social media, and the website; create event-related marketing materials and materials that recognize donors (brochures, presentations, flyers, videos, surveys, and reports).
Social Media Management: Track and optimize engagement on social platforms; use technology to enhance communication and build relationships around events.
Maintain consistent CDP branding across all external materials.
Foster relationships and collaborate with sponsored ministries to promote joint events and shared initiatives, ensuring a unified message.

Internal:

Design and maintain templates for internal communications and event planning.
Support outreach events in collaboration with leadership teams.
Gather and curate impactful stories and photos from events to share with stakeholders

Gather Content for Publications and Media:

Actively Engage with Sisters during events, capturing stories and photos.
Use collected content to create impactful stories for newsletters, social media, and other platforms.

KEY FUNCTIONS:

Event Planning: Coordinate and implement in-person and virtual events, managing logistics, on-site/virtual support, and post-event follow-up.
Content Creation Support: Support creation of engaging content for newsletters, social media, websites, and event materials, ensuring alignment with CDP branding.
Social Media Management: Schedule posts, monitor engagement, and analyze performance to optimize communication strategies.
Internal Communications: Design and distribute newsletters, updates, and templates to support internal communication needs.
Associate Communication and Engagement: Maintain regular communication with Associates and facilitate activities to foster community connections like “Coffee Conversations,” book discussions, and other group activities.
Opportunity Identification: Research and report opportunities for engagement and collaboration with internal and external stakeholders.

Other Duties as Assigned

Perform additional responsibilities as required to support the organization’s mission and goals.

Job Specifications Qualifications

Bachelor’s degree in communications, marketing, or a related field.
Minimum of 2 years of experience in communications, social media management, or community engagement.
Strong writing and content creation skills, with attention to detail and alignment with organizational values.
Proficiency in social media platforms, Microsoft Office Suite, and familiarity with Adobe Creative Suite preferred.
Strong organizational and multitasking abilities.
Commitment to the mission and values of the Congregation of Divine Providence.
Bilingual skills (English/Spanish) are preferred but not required.

Working Conditions

Ability to work in an office setting with extended periods of sitting, standing, or computer use.
Occasional evening or weekend hours for events or outreach efforts.
Capability to lift up to 25 pounds for event materials and equipment.

Job Type: Full-time

Pay: $20.00 – $22.00 per hour
