The Groups & Events Coordinator should provide administrative support to the Sales Team, dealing all matters in a professional, efficient and timely manner to maximize team revenues and promote quality service through daily communication and coordination with other departments.
Key Responsibilities:
Communicate & liaise with customers and e-mail
Handle all incoming inquiries from clients via phone, email and other communication channels, ensuring prompt and professional responses
Confirm bookings, manage cancellations and process modifications to reservations
Conduct site inspection of the hotel
Maintain client contact database in Delphi
Administrative support to Groups & Events team
Input Rooming lists in Opera PMS, monitor daily changes and final group pick up
Work closely with other hotel departments to facilitate services agreed upon by the sales office and prospective clients. Disseminate sales-related information to other departments as appropriate
Requirements
Degree in Hotel Management/Tourism and /or Business Administration
1 year of experience, ideally gained in reservations or catering sales team of a 5* Hotel
Languages: Fluent in both Greek and English (written & spoken)
Fully computer literate and especially with Outlook, Word, Excel & Sales and Catering Programs (Opera, Delphi)
Communication and presentation skills with the ability to build strong long-term client relationships
Customer Service: Strong interpersonal and customer service skills, with a passion for providing an exceptional guest experience
Problem-Solving: Ability to handle guest enquiries, concerns and issues with a calm and professional approach
Good organizational skills
Team player and results orientated
