Description:
The Ministry and Administrative Assistant serves as the communication and office hub for Spring Hill Baptist Church. This person provides internal support for staff and volunteers, creating and maintain systems for smooth processes.
The Director of Children’s Ministries leads a disciple-making ministry for preschool and elementary-age children and their families. Provides Christ-centered, biblically-based oversight for recruiting, supporting, and maintaining an ongoing ministry to children.
This/these position(s) work(s) with the church staff, under the direction of the Senior Pastor, body of deacons, and Personnel Team, to accomplish the overall purposes of the church.
Duties:
Financial Administration
Ø Maintain files/records for church’s contracts, insurance policies, financial data, etc.
Ø Reconcile and manage records of financial contributions, including bank deposits and preparing annual financial statements.
Ø Prepare and process payroll and accounts payable.
Ø Prepare monthly printed financial reports.
Ø Maintain five years of financial records.
Ø Maintain confidentiality of all financial information pertaining to receiving, recording, and depositing of funds.
Ø Work with the Financial Team, deacons, and Senior Pastor to ensure a smooth financial process.
Children’s Ministry
Ø Oversee the planning, coordination, volunteers, and operation of a comprehensive kids’ ministry for preschool and grammar ages.
Ø Seek to establish a disciple-making strategy for children
Ø Develop relationships with children and parents
Ø Work with the Student Support Team to help lead this ministry
Ø Prepare annual budget requests and manage the adopted budget.
Ministry Assistance
Ø Assists the church staff with a variety of administrative tasks
Ø Contribute to general office management: order supplies, greet visitors, answer phones.
Ø Maintain membership, personnel, ministry, and outreach records
Ø Develop systems to assist our existing and future ministries.
Ø Provide communication and organizational support for Ministry Team leaders.
Ø Prepare and mail correspondence and ministry letters from the pastoral or staff.
Ø Assists with the preparation and execution of staff-led and/or church-wide events, retreats, training, etc.
Ø The goal of a good ministry assistant is to think ahead for the staff and church and help them prepare adequately
Communications
Ø Develop and implement a comprehensive communication strategy, ensuring consistent messaging across all platforms (digital, print, verbal)
Ø Collaborate with church leadership to promote events, services, and outreach efforts
Ø Prepares, edits, and produces church publications, primarily the Scoop newsletter
Ø Work with the website volunteer to keep the site relevant and timely
Ø Manage photography and videography for church events
Ø Develop and execute social media campaigns to grow online presence/engagement
Ø Develop and manage email, text, and digital communication strategies. Knowledge of an email software, like MailChimp, is a plus.
Ø Create and manage promotional materials
Ø Partner with ministry leaders to develop strategies to publicize events and initiatives
Ø Monitor and respond to messages and inquiries via the church’s social media, email, and website
Skills and Qualifications:
· Evidence of a growing relationship with Jesus Christ and a love for people
· Proficiency in Microsoft Office Suite (especially Word, Excel, and Publisher), Canva and other design software a plus
· Experience in administrative assistance, communications, marketing, or public relations a plus
· Attention to detail; ability to organize information, data, and people
· Able to maintain confidentiality with sensitive information
· Able to be flexible and adjust to change; able to respond graciously, appropriately, and in a timely manner to phone calls, emails, and in-person requests
· Able to work as a team player with the church staff
· Ability to handle numerous tasks and projects in a given week
· Able to create internal systems to help the church function smoothly
· Very good communication skills in person and writing, including editing and proofreading
· Proficiency and/or willingness to learn new software or online programs as needed
This position reports to the Senior Pastor and the Personnel Team, with the assistance of the deacon who oversees Operations.

Pay: From $25,000.00 per year
