Exante360, Inc., is a technology design consulting company that specializes in Information and Communications Technology (ICT) systems, also called low voltage systems. We design and project manage the installation of security systems, audiovisual systems, cabling infrastructure, IT data networks, nurse call systems, and more. To date our company has completed hundreds of design projects for architects, corporations and contractors in various market sectors including healthcare, education, mission critical, government, biotech, transportation, etc.
Description
The Marketing Coordinator is a hybrid role that performs various administrative tasks for Marketing, Human Resources, and as time permits also supports monthly accounting tasks.
Duties and Responsibilities
Leverages strong computer skills (MS Office suite, Adobe Suite, Bluebeam, etc.) to efficiently handle administrative tasks within the respective departments, including data entry, file management, reporting, and forms/template administration.
Position reports to Marketing Manager.
Marketing support activities:
Works with Marketing Manager to research, plan, and assist in the execution of all Exante360 Events.
Sales Proposals: Uses Adobe InDesign to prepare template-based proposals. Performs the initial setup tasks in preparation for BD/Sales team review.
Uses Excel to maintain a library of all archived and active contracts. Follows up on required documentation related to contracts such as insurance, business licenses, etc.
Maintain and update marketing collateral.
Design, build and maintain our social media presence.
Assists with the preparation of the internal company newsletter.
Assists with research of RFQ and bid opportunities.
Works closely with Marketing Manager to conduct market research to identify target audiences, market trends, and opportunities.
Assists in maintaining client information in CRM database/email software.
Accounting Admin support activities:
Assists the Staff Accountant with activities such as matching expense reports with receipts, as well as other reconciliations.
Human Resources support activities:
Works closely with HR on company-building initiatives as well as policy and procedure adherence.
Assists with the recruitment process, including placing ads, screening resumes, scheduling interviews, and conducting reference checks.

General knowledge of federal and state legal requirements and human resources practices.

Experience with AI and automation.
Must be able to handle multiple concurrent assignments.
Excellent written and verbal interpersonal communication skills.
Education/Experience Requirements
· 2-4 years of previous administrative support.
· 1-3 of experience in marketing, communication, or a similar role.
· CRM experience preferred.
· AI experience required.
· Experience in managing projects and meeting deadlines.
· Creative thinker with an eye for detail.
· Ability to multi-task, prioritize, and work in a fast-paced environment.
· Prior experience working in a support capacity related to accounting is helpful.
· Associate degree or bachelor’s degree in a related field required.
· Human resources experience preferred.
· PHR/SHRM-CP certifications preferred.
Work Environment
This position is remote only. Exante360 will provide all the necessary equipment and software to be successful in your efforts (laptop, software, monitors, cell phone, etc.). Associates are required to provide a workstation, desk, chair, and a strong internet connection.
Physical Demands
Work is performed in a home office environment; much time is spent sitting/standing at a desk using a workstation, keyboard, and mouse.
Must be able to read documents, use a computer, and communicate verbally and in writing.
Training and Development Pathway
· Included in your job duties is the need to stay current with technologies, industry best practices, etc. We intend to establish a training and development path after 90 days of employment to help you achieve these goals. The certifications below are examples of the desired outcomes from these activities:
o Professional in Human Resources (PHR)
o Society for Human Resources, Certified Professional (SHRM-CP)
o Certified Associate in Project Management (CAPM)
o DMI Certified Digital Marketing Associate (CDMA)
Job Type: Full-time
Pay: $25.00 – $30.00 per hour
