Overview:
The Office of Communications is seeking a highly organized and proactive Communications Coordinator to provide comprehensive administrative support for the office’s operations. This role includes managing various projects, coordinating and executing events, scheduling meetings and interviews for content development, organizing files and media assets on the server, supporting content creation, and documenting official events.
Essential Duties and Responsibilities:
Provide administrative support to the Office of Communications, ensuring smooth day-to-day operations.
Manage communications projects using project management and collaboration tools, ensuring the timely completion of assignments.
Collaborate closely with Marketing Managers and County Departments to understand assignments, secure background materials, and ensure successful completion of tasks.
Serve as a content liaison, facilitating communication between the Communications team and other departments.
Organize and maintain digital files and media assets on the County server, ensuring easy access and proper categorization.
Oversee the traffic management of translated materials, working with external vendors as needed.
Coordinate events by developing checklists, conducting site visits, ordering materials, booking vendors/resources, overseeing event logistics, and staffing events.
Assist with content development for various communications channels, including the County magazine, website, and employee app.
Maintain archives of Board of County Commissioners’ achievements and attend Public Meetings as assigned.
Schedule meetings and coordinate logistics for the Communications team.
Manage and maintain media subscriptions for the office.
Provide general administrative support across the Office of Communications, as directed by the Office Director.
Qualifications:
A minimum of 2-4 years of administrative support experience in an office setting.
Experience managing projects and using collaboration tools to ensure deliverables are completed on time.
Ability to work with County departments to gather necessary materials and information for successful project completion.
Experience with event coordination, including planning, resource management, and vendor coordination.
Strong organizational skills, with an ability to manage multiple tasks and deadlines effectively.
Proficient in digital tools, including file management systems and communication platforms.
Ability to maintain accurate and organized archives of official documents and media assets.
Excellent communication skills and the ability to interact effectively with both internal and external stakeholders.
