Position Overview:
The Sales and Marketing Support Administrator is a member of the Sales Team and reports to the Sales Director under our Aquinas Division. This position is 100% onsite in Dublin, OH or Cary, North Carolina. The Sales and Marketing Support Administrator is responsible primarily for supporting all members of the Sales Team to support the sales and marketing initiatives at Aquinas. These needs include but are not limited to:
Duties and Responsibilities:
Systemize, track, and maintain operational needs of the sales department
Create Wrike tasks, Outlook calendar invitations, and Box files/folders as needed
Create and copyedit reports, memos, emails, and presentations as needed
Manage all marketing materials and programs as requested
Purchase and mail marketing materials as directed
Organize and lead holiday chocolates, if applicable
Attend calls with Aquinas Sales Representatives to take notes in Wrike and assist with post-call follow-up as requested
Support miscellaneous Corporate and Sales/Marketing needs as they arise
Assist with onsite customer visits by leading the planning and preparation under the direction of the assigned Aquinas Sales Representative
Lead event preparation at the request of President and/or Director of Sales
Support the Strategic Partner Program helping with all needs including product management per the request of the President and Director of Sales
Assist with all sales related paperwork preparing SOWs for final review, track the progress of SOWs, organize executed SOWs on the company server
Assist Director of Sales and President with administrative and departmental needs, as requested
Train new hires and existing employees in the functionality of systems used within the Sales department when needed
Attend IPM, R&P, and Project Debrief meetings as needed/required
Schedule and attend Pre and Post Customer Call Planning as scheduled per the direction of the Director of Sales
Provide research support for the Sales team
Additional responsibilities could be determined as needed based on departmental demands
Secure POs from clients, when needed
Update sales and administration information in Wrike and CRM
Assist sales team with travel arrangements
Assists the Sales Team with customer RFP needs and requests

Participate in company events, including those outside of normal business hours
Remain flexible with short lead times and changing priorities
Recommend process improvement
Assist with ad hoc projects as requested by management
Complete at least four (4) hours continuing education annually

Job Requirements /Skills/Abilities:
Communication Skills- Highly skilled in writing, editing, and delivering oral and written information to accommodate many types of audiences
Industry Experience – Prefer two plus years of project management experience for training, communications, or advertising in the pharmaceutical, medical products, or life sciences industries
Project Management – Prefer some experience managing client projects which includes coordinating tasks, setting milestones, prioritizing objectives, and exceeding client expectations on deliverables
Resourcefulness – Able to analyze and creatively problem-solve to work through project issues with a sense of teamwork and urgency
Education & Experience:
Bachelor’s degree in English or related field
Prefer a minimum of two years’ agency experience in Sales or Marketing
Conditions Of Employment:
Verification of educational requirements, employment history, employment screening, execution of company agreements and references.
Working Conditions and Physical Effort:
Work is normally performed in a typical interior/office work environment
10-20% of travel may be required (overnight trips
