Position Overview:
Rhubarb Agency, a leading entertainment advertising agency working with major streaming platforms and networks, is seeking a highly organized and detail-oriented Creative Project Coordinator to join our dynamic team. In this role, you will play a vital part in ensuring the smooth execution of day-to-day operations by supporting the creative and leadership teams. You’ll manage freelancer and vendor coordination, oversee billing processes, and facilitate client onboarding. Additionally, you’ll collaborate with internal teams to maintain project timelines, allocate resources, and ensure seamless communication across departments.

Key Responsibilities:
· Provide all general administrative support to the creative and leadership team, ensuring smooth daily operations, including assisting with scheduling meetings, organizing files, and managing/ordering office supplies.
· Help facilitate internal team events, production photoshoots, project specific events, and occasional on-site logistics, including assisting with onboarding freelancers and vendors by ensuring all necessary documentation (NDAs, W9/W8-BEN, payment details) is collected and maintained.
· Manage freelancer setup in QuickBooks, ensuring tax and payment information is accurate, and addressing freelancer and vendor inquiries, ensuring compliance with 1099 tax reporting.
· Process freelancer and vendor payments through various channels (direct deposit, Payoneer, Wise, PayPal, wire transfers), and review, categorize, and allocate incoming invoices and project-related expenses.
· Oversee recurring payments (e.g., rent, software licenses), ensuring correct adjustments for contractual changes.
· Support client onboarding, including contract reviews, tax form completion, and account setup.
· Generate estimates and invoices in accordance with project scopes and requirements, including managing invoice processes for major clients, ensuring compliance with their specific payment systems.
· Liaise with clients to resolve payment delays, and invoicing discrepancies, while also proactively following up on aged receivables to secure timely payments.
· Work closely with the finance and operations team, who oversee high-level financial strategy and ensure the company’s financial health, by providing reporting and updates on A/P and A/R matters to support broader financial planning and decision-making.
· Create and maintain detailed project timelines on Airtable, assign tasks to team members, and setting clear deadlines for each stage of a campaign.
· Acting as a liaison between account executives, creative teams, and other departments to ensure everyone is informed about project progress and any necessary updates.
· Manage the workload of creative teams by assigning projects based on available capacity and expertise via Airtable.
Qualifications:
· Experience: 3+ years in billing, finance coordination, administrative support, or project management in an agency or creative environment.
· Technical Skills: Proficiency with Google Suite, QuickBooks Online, and online payment platforms (Wise, Payoneer). Experience with project management tools like Monday.com and Airtable a plus.
· Communication: Strong written and verbal skills for clear client and team interactions.
· Organization: Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.
· Detail-Oriented: Strong attention to detail, ensuring accurate data entry and adherence to client-specific requirements.
· Team Player Mentality: A collaborative approach, willing to step outside the job scope when needed to ensure smooth operations.
· Project Management Ability: Experience in workflow coordination, scheduling, and resource management in an agency setting is preferred.
· Calm & Poised Under Pressure: Ability to problem-solve and maintain professionalism in high-pressure situations.

Pay: $70,000.00 – $80,000.00 per year
