Under general supervision provide administrative support and assistance to Group Sales and Marketing department.

Requires the ability to work with many interruptions and manage multiple administrative tasks including contact with clients. Must be able to provide excellent friendly service to clients and work effectively with team members.
Job Tasks
Provide administrative support to the Group Sales and Marketing department.
Answer phones/emails and direct inquiries to proper sales person.
Respond directly to client’s inquiries about group sales programs.
Provide excellent customer service to internal and external clients via phone, e-mail and in person.
Process Boardwalk pre and post event procedures which includes: routing, tracking, setting up files, tracking due dates for return of agreements and outstanding deposits and event orders.
Assign leads to Sales Managers in the costomer relationship managerment system (CRM) as directed.
Assist Event Planner with all aspects of the client planning process as assigned (booking sheets, event planners, final guarantees, vendor booking, ticket issuances and event flyers).
Build rapport quickly with assigned clients, offer up-sell choices and collect accounts.
Book, plan, prepare and distribute paperwork for internal events as assigned by Event Planner.
Communicate regularly and effectively with sales managers and other departments.
Assist Promotions & Special Event Manager with booking, data input and revenue reconciliation for group visits as needed.
Pick up and deliver event, sales and trade show materials utilizing own car or company vehicle.
Manage point of sales (POS) system input with an emphasis on order creation, reconciliation, and processing of client payments.
Invoice Group Sales clients.
Work and troubleshoot with Season Pass/Group Sales department to support ticket holders.
Input, process, create and distribute marketing and sales analytical reports.
Assist with ticket programs and trades, including filling and shipping orders.
Inventory and order tickets, promotional materials and giveaways.
Attend Marketing and Sales meetings, take and prepare minutes of meetings as needed.
Assist with registration and event-day for Special Events such as Clam Chowder Cook-Off, Chili Cook-Off, Overnight events, Band Review.
Attend Safety Committee meetings and report relevant information at monthly Marketing meetings.
Other duties as assigned.
Qualifications: Training and Experience
Two years of increasingly responsible administrative experience which includes phones and computer experience using word process, spread sheet and data base programs. Experience in a sales, group event and/or hospitality setting is helpful.
Knowledge, Skills and Abilities
Knowledge of technology used in a sales/administrative environment.
Knowledge of business English, vocabulary, spelling and grammar.
Knowledge of office procedure and practices and record keeping systems.
Knowledge of business phone systems.
Some knowledge of event planning and coordination.
Able to be detail oriented with a strong emphasis on accuracy.
Ability to apply technology used in a sales/administrative environment.
Ability to use word processing, spread sheets and data bases to process correspondence and reports.
Ability to perform varied work involving independent judgment and requiring accuracy and speed.
Ability to apply Company revenue systems such as Accesso, Intercard, Outlook calendars, Sharepoint
Ability to maintain complex records and files.
Ability to work with external and internal clients in a professional, positive and friendly manner.
Able to quickly learn and apply policies and procedures unique to the Santa Cruz Seaside Co.
Ability to communicate effectively verbally and in writing, and make presentations to tour groups on occasion.
Ability to organize and manage multiple tasks, work with interruptions and to prioritize work.
Ability to learn company operations and procedures.
Ability to type 25 wpm.
Ability to make arithmetic computations.
Ability to create flyers, coupons, tickets and other materials using computer software.
Ability to maintain confidential information.
Physical Requirements
Able to hear normal conversation on the phone and in person.
Able to lift and move up to 50 pounds and carry over distances and up and down stairs on occasion.
Able to use a step ladder.
Bi-manual dexterity.
Able to walk up and down stairs.
Able to see, read and interpret documents.
Licenses / Insurance
Possess and maintain a valid California U.S. Driver’s License at the time of hire. Required to maintain automobile liability coverage with a minimum of $15,000.00 bodily injury one person/$30,000.00 bodily injury total accident/$5,000.00 property damage coverage per California’s minimum liability insurance requirements. (Required if the employee will at anytime use own vehicle to perform company business functions)
