Job Description
Established Cosmetic Surgery & Full Medical Spa in Modesto seeks experienced front office coordinator with reception, phone operator, medical, sales, and marketing skills experience. As a front office coordinator you will be the first point of contact providing a positive first impression to patients. The ideal candidate will be an energetic team player, who demonstrates initiative and effective at listening to, understanding and clarifying concerns and issues raised by patients.
Triaging phone calls, successfully determine if patient phone call requires immediate attention by another department or supervisor.
Registers patient into patient portal and sends forms via portals.
Responsible for monitoring assigned providers’ schedules to ensure scheduling is accurate and/or provider has full schedule, to be monitored at least 3 days out.
Audit phone calls
Analyze trends and production.
Provide administrative support to managers.
Assist with company Social Media accounts and patient inquiries
Assist with Web Site maintenance and content management.
Assist with event planning, new item management and online patient portal material.
Schedule and manage appointments using our system.
Process payments, handle refunds and exchanges, and ensure a seamless waiting room experience.
Address customer complaints with empathy and professionalism, ensuring a positive resolution.
Register new patients according to established procedures.
Ensure patient demographics are current and accurate at time of visit including medical history.
Performs other duties as assigned/necessary

Skills Required for the Position:
Exceptional interpersonal skills – must enjoy working with people in a team environment and possess a friendly and outgoing personality.
Excellent writing and phone skills.
Ability to multi-task in a fast-paced environment.
Ability to work independently and complete tasks promptly without direct supervision.
Strong customer service, sales, retail and/or skincare experience
Computer skills, including email.
Uses effective communication techniques to engage the patient.
Bilingual (Spanish) preferred
Job Type: Full-time
Pay: $21.00 – $28.00 per hour
