Position Summary
The Communications & Marketing Specialist is responsible for developing and executing the association’s communications strategy, ensuring consistent and effective messaging across all platforms. This role manages marketing materials, website content, social media engagement, podcast production, and preferred partner relations. Additionally, the position supports association events, educational workshops, and public relations efforts to enhance member engagement and industry visibility.
Key Responsibilities
Publications & Communications
Develop and distribute email communications, including member announcements, industry alerts, legislative updates, and event promotions.
Create compelling marketing materials for key association events, including the Annual Convention, Golf Tournament, Fishing Calcutta, Pheasant Hunt, NetGen, and Truck Driving Championships.
Prepare printed materials, signage, direct mail campaigns, and sponsorship collateral.
Draft letters from leadership, sponsorship appeals, meeting announcements, and key stakeholder communications.
Develop and maintain registration forms, email templates, action alerts, and donation materials.
Manage outreach initiatives, including legislative and insurance mailers.
Oversee public relations efforts, crafting press releases and managing media outreach.
Design marketing tools such as legislative session guides (e.g., pocket sliders).
Assist in the production and distribution of the Annual Membership Directory.
Maintain the Constant Contact email list for association communications.
Schedule and send calendar invites for all association meetings and events.
Digital Media & Content Creation
Develop engaging multimedia content, including member and allied partner spotlight videos.
Produce and promote pre- and post-event videos.
Manage and distribute text message alerts, maintaining updated contact lists.
Oversee social media strategy and content creation across Facebook, LinkedIn, X, Instagram, TikTok, and YouTube.
Edit, schedule, and distribute association podcasts.
Regularly update and maintain association websites to ensure timely and relevant content.
Design and display event slideshows for conventions, board meetings, and industry events.
Conduct pre- and post-event surveys to measure engagement and improve future initiatives.
Capture and publish event photography.
Event & Educational Workshop Promotion
Develop and execute marketing campaigns for association events, fostering strong partner relationships.
Design and distribute event invitations for the Legislative Reception, Golf Tournament, Convention, and District Meetings.
Create program flyers, handouts, and promotional materials.
Manage e-communications and newsletters to promote workshops, coordinating event logistics and registrations.
Provide on-site support for major association events and board meetings.
Assist in planning and marketing educational workshops and webinars.
Professional Development & Industry Knowledge
Stay informed on trends in the trucking and automotive retail industries to enhance member support and advocacy efforts.
Excellent verbal and written communication skills with attention to detail.
Ability to work collaboratively in a fast-paced environment while managing multiple projects.
Seek opportunities for professional growth to continuously improve communications strategies.
Additional Responsibilities
Answer and route incoming calls professionally and efficiently.
Actively promote the association, recruiting new members and fostering engagement.
Perform other duties as assigned by the President.
Physical Demands
Frequent use of hands and fingers, with extended periods of sitting or standing.
Occasional stooping, kneeling, or crouching.
Ability to lift and move up to 30 pounds.
Work Schedule & Travel
Hours: Salaried position, 37.5 hours per week (8:30 a.m. – 5:00 p.m.), with flexibility based on workload.
Compensatory Time: Available for full-day weekend assignments with prior approval.
Travel: Occasional in-state and out-of-state travel for conventions, meetings, and training.
Policy Compliance: Adherence to the Office Staff Policy is required.
