Skills:

Experience working with show managers, decorators, hotel management, and logistics partners

Excellent written and verbal communication skills with a focus on customer service

Strong technology skills, able to learn and adapt to new platforms

Enthusiastic team player with ability to navigate cross functionally with remote stakeholders

Excitement for event and marketing trends and willingness to share new ideas

Software/Tools:

Microsoft Office (Word, PPT, Excel)

Stova/event management software familiarity

HubSpot – CRM/CMS (preferred)

Adobe Creative Cloud (preferred)

Tasks & Duties:

Regional & National Events

Coordinate participation (contracting, payment, registration) for 100 regional and national events

Maintain conference calendar and communicate with internal stakeholders

participation/attendance for each event.

Internal point of contact for all conference participation and logistical coordination.

Manage logistics/shipping/tracking materials, etc. for all events

Order all materials for conference participation (electrical, material handling, booth materials).

Order and manage giveaways, brochures, signage, other conference materials.

Internal Events

Coordinate logistics, catering and offsite events for all internal company meetings (4/year)

Act as the main point of contact for employees and vendors regarding internal event logistics

User Conference Operations

Order/track attendee giveaways, prizes, awards

Update conference app content.

Work with Event Manager and Director of Marketing to oversee registrations,

payment, refunds.

Manage staff participation and coordination including attendance, housing and ordering shirts

Oversee attendee housing and coordinate with hotel contact.

Be point of contact for answering attendee questions and providing help.

Assist with app, registration/badges, signage, attendee questions during conference.

Partner with conference team on event branding and design.

Other Duties

Maintain conference and webinar calendar pages on website.

Collaborate with team to schedule promotion of speaking and event participation via social and other channels.

Work with sales team to provide lead lists post-conference.

Work with designer and printer to update banners and other conference graphics.

Update brochures and other marketing materials needed for events.

Qualifications:

Minimum BA/BS degree in Event Management, Marketing, Communication

2+ years experience in marketing, conference/event management

Demonstrated ability to coordinate, prioritize and handle multiple priorities and projects simultaneously

Skilled at managing detailed conference logistics and working with event management/show decorators and logistics companies

Must be dependable, highly organized, self-motivated and detail-oriented

Flexibility to accommodate constantly changing environment
