Who we are looking for:

We are looking for an individual who can perform a broad range of duties, with a primary responsibility of identifying and managing the marketing efforts, internal and external, agent-facing and client-facing, of the KW Advisors San Francisco Market Center.

You will be the interface and intermediary between our back-end marketing resources and our clients, the real estate agents of our company. You will be responsible for providing agents with guidance and advice in regards to executing their marketing strategies; providing quality control checks to ensure we are delivering to expectations; pro-actively identifying and generating ideas for new marketing efforts internally and externally from promoting educational opportunities to recruiting new agents to our company.

This multifaceted role has one primary purpose:creating “raving fans” with exceptional customer service skills, strong organizational abilities, and the ability to handle various responsibilities. Marketing is the lifeblood of a real estate agent, and you will be the face of our firm’s agent support. This means you have an enormous hand in agent retention and recruitment, and the perception of our brand locally. You will often be tasked with making agents and their clients feel welcome and comfortable, ensuring a well-maintained office environment, and coordinating events and meetings as needed.

You will support recruiting efforts throughout the market center by facilitating preparation of pre-hire marketing presentations and coordinate onboarding of both new and experienced agents and training them how to best utilize our extensive marketing resources.

What you will do:

Marketing Coordinator (main role):

Support Real Estate Agents:

Provide personalized assistance to agents, guiding them to necessary resources and tools.
Be the primary interface and project manager with our retained marketing services provider.
Understand the structure of our providers personnel and their roles and offerings to be able to cogently communicate their value proposition to agents to help them maximize the usage of our retainer and their own personal business outcomes.
Drive production of marketing materials; manage progress and completion of agent projects in Asana project management system
Improve existing systems for project management, communication, and marketing as necessary, ensuring that all features of Canva are being utilized to ensure efficiency and optimization of outputs.
Create, document, and communicate new systems as needed by involving stakeholders both internal and at our marketing services provider.
Make small adjustments or corrections occasionally using Canva.
Ensure agent and marketing work product compliance with California Department of Real Estate (DRE) rules and KWRI guidelines as relates to branding including the usage of the luxury, commercial and other community designation branding.
Be a crucial part of successfully onboarding and retaining agents by seamlessly establishing their marketing program within our system and assisting in their transition to the company by leveraging the resources of our marketing services provider.
Liaise with external vendors and service providers as needed – such as local printers for rush projects.
Identify opportunities for outsourcing projects when necessary. Facilitate the hiring and oversight of qualified talent to execute projects according to plan.
Handle agent inquiries, concerns, and complaints promptly and professionally, resolving issues to the best of your ability or escalating them to the appropriate individuals.

Support leadership:

You will report directly to the Team Leader of the Market Center.
Support recruiting by facilitating preparation of and quality control of pre-hire marketing presentations/collateral for agents being recruited to show them the vision
Meeting with recruits to impress upon them the excellence of our marketing support and explain your role and the role of our marketing partner California Concierge.
Monitor market center success for event/property/email and print campaigns for the market
Monitor market center marketing budgets by comparing and analyzing actual results for advertising/marketing projects with marketing/advertising plans and forecasts.
Manage social media accounts (Facebook, LinkedIn, Instagram, Yelp, Google+,etc.), utilizing Facebook Pixel, Google Analytics, etc. to gather data and results and implement changes / adjust marketing efforts as necessary
A successful candidate will, for example, possess the ability to attend a meeting, learn about a new event or initiative, hear this information and proactively offer up “I will coordinate XYZ in the next X day(s)” to support the team.

Event Coordination (shared/secondary role):

Coordinate and liaise with internal stakeholders and leadership to plan, organize, and coordinate both internal and external events
Manage event logistics, including venue selection, catering arrangements, audiovisual setup, and other necessary arrangements.
Travel may occasionally be required to conferences and events.

Front Desk/Reception backup (when needed):

Daily cover lunch for DOFI (Director of First Impressions)
When DOFI is out of the office and/or unavailable:
Open and close the office daily; ensure the office is clean, presentable, organized and reset from the prior day’s usage.
Greet visitors, clients, and employees in a friendly and professional manner
Monitor office telephones, as required by staffing
Answer incoming calls and retrieve voicemails; direct to appropriate individuals.
Take accurate messages when necessary.
Assist with managing and scheduling appointments, meetings, and conference room reservations.
Manage incoming and outgoing mail, packages, and deliveries efficiently.

Requirements:

Technical proficiency in Canva required.
Adobe Creative Suite, proficiency preferred.
Asana project management software experience preferred
Google Business Suite.
Excellent writing and grammar skills.
Ability to demonstrate offerings and communicate effectively
Experience with internal or external account management, real estate marketing and/or luxury brands a big plus
Ability to manage other people and work with different personalities to always create positive outcomes.
Strong organizational abilities and ability to manage multiple tasks and priorities effectively.
Proactive mindset with the ability to take initiative, anticipate needs, and provide creative solutions.
Ability to adapt and remain calm under pressure, maintaining a positive attitude in fast-paced and demanding situations.

License/Certification:

Marketing degree or project management certification preferred
Real Estate License a plus, but not required

Job Type: Full-time

Pay: $70,000.00 – $105,000.00 per year
