THIS POSITION IS LOCATED IN OUR SANTA CLARITA, CA HEADQUARTERS/SOCAL DIVSION OFFICE. THIS IS NOT REMOTE.
SUMMARY/OBJECTIVE:
The Sales & Marketing Assistant supports the Corporate Sales, Escrow, and Marketing departments by providing administrative and operational assistance to ensure seamless coordination between teams. Reporting to the VP of Sales & Marketing with oversight from Escrow Manager and Marketing Manager, this role plays a key part in streamlining sales and escrow processes while assisting in the planning, development, and execution of marketing initiatives.
ESSENTIAL JOB DUTIES:
Sales & Escrow Support:
Facilitates smooth homebuyer transactions from contract to closing, ensuring accuracy and compliance throughout the process.
Maintain accurate and complete sales files in SharePoint.
Prepare closing documentation and coordinate with lenders, escrow, title companies, and homebuyers to ensure timely closings under Escrow Manager guidance.
Verify purchase prices, options, and payments, ensuring closing statements align with transaction terms before submitting them to Escrow Manager for approval.
Assist Escrow Manager with month-end and year-end filing.
Manage and update electronic files, deposit check records, holdback tracker, and escrow folders.
Monitor Newstar Sales Summary (NSS) and update estimated COEs when needed.
Scan and archive closing documents into lot files.
Order and track property disclosure and tax reports.
Track cancellations and process refunds with accounting.
Handle lender, title, and sales email requests efficiently.
Marketing Support:
Responsibilities include project coordination and promoting brand awareness to support marketing strategies and programs across all projects.
Reviews and updates marketing collateral, ensuring accuracy and coordinating reprints when necessary.
Preflights digital and print creative materials for accuracy before distribution.
Tracks marketing campaigns, sales traffic trends, and prepares monthly reports.
Maintains an organized asset library for each community following prescribed naming conventions in the project management tool, OneDrive, SharePoint, and other third-party applications.
Process and submission of invoices, purchase orders, change order requests to accounting; follow-up on invoices as needed to ensure timely payments to vendors.
Assists in opening and closing new community sales centers and model homes, coordinating with the interior design team as needed.
Supports the planning, setup, and execution of major community events.
Occasional evening and weekend work may be required for special events.
Assists with social media planning, scheduling, and content implementation.
Manages all tasks and requests using the project management tool (Wrike/Newstar), providing weekly progress reports and daily updates.
Requirements:
EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES:
Associate’s Degree in Business Administration, Marketing, Public Relations, Communications, or a related field preferred.
2+ years of experience in a coordinator/administrative support role in a business environment.
Proficiency in MS Office Suite, with strong Excel and PowerPoint knowledge.
Experience in design tools such as the Adobe Creative Suite, Canva, or similar applications a plus.
Familiarity with Google advertising and social media advertising platforms such as Facebook, Instagram, LinkedIn, YouTube.
Extremely well-organized, flexible, ability to prioritize workloads, work in a fast-paced environment to meet deadlines.
Excellent written and oral communication skills, with some copywriting a plus.
Available for occasional travel.
Must be self-motivated, creative, detail oriented with solid organizational, time management and follow up skills, and be personable with a can-do attitude.
Requires the ability to work while functioning under the pressure of problem solving and managing time sensitive deadlines.
