Job Summary:
The Marketing & Office Manager / Executive Support person will oversee a variety of responsibilities, balancing marketing support, office management, and executive support duties. This role is designed to ensure efficient operations, assist with marketing strategies, and provide vital support to senior leadership. The individual will help maintain a productive and organized work environment while executing key marketing initiatives, office tasks, and executive-level assistance.

Key Responsibilities:

Marketing & Content Creation:

Collaborate with marketing partners to ensure all materials align with the brand’s voice and business objectives.
Assist in planning and executing promotional events, webinars, and trade shows.
Assist in ordering collateral for business divisions
Assist in monitoring Marketing Inbox for collateral and marketing requests
Manage the company swag store, ordering and shipping out branded materials.
Other marketing-related duties as assigned.

Office Management:

Maintain office functions, including office supply inventory, ordering, and acting as a liaison with building management.
Manage vendor relationships and negotiate contracts as needed for office supplies and services.
Coordinate and schedule meetings, appointments, and travel arrangements for team members.
Oversee office budgets and expenses, ensuring efficient allocation of resources.
Support senior leadership with administrative tasks, including preparing presentations and board decks.
Participate in organizing company-wide events such as all-hands meetings, off-site events, catering, and meeting setups.
Maintain office policies and procedures to ensure smooth daily operations.

Executive Support:

Provide executive-level support, including assisting with scheduling, travel arrangements, and day-of event coordination.
Display professionalism, attention to detail, and the ability to manage a variety of tasks under pressure.
Demonstrate discretion, confidentiality, and a proactive approach in assisting senior-level executives.
Coordinate quarterly board decks and distribute them to relevant team members.
Manage senior leadership’s schedules, ensuring all meetings and travel logistics are in place.
Act as the Suite Coordinator for the Seahawks Suite, distributing tickets and handling food and beverage orders for the football season.

Qualifications:

Bachelor’s degree in marketing, communications, business administration, or a related field preferred, or equivalent experience.
Minimum 3-5 years of experience in office management, executive support, or marketing roles.
Proven experience in managing marketing initiatives, including content creation, graphic design, social media management, and event planning.
Strong organizational, multitasking, and time management skills with the ability to prioritize tasks and meet deadlines.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and familiarity with tools like SAP Concur, WordPress, Google Analytics, and CRM systems.
Experience with vendor relationship management, data analysis, and budget tracking.
Bilingual (Spanish and English) is a plus.
Experience in managing or coordinating events and meetings.
Strong communication, interpersonal skills, and attention to detail.

Preferred Skills:

Certified notary public is a plus but not required.

Physical Requirements:

Sitting/standing for extended periods, up to 8+ hours per day.
