The Office & Marketing Manager is a vital role combining administrative expertise with marketing creativity to support the Chamber of Commerce & Tourism’s mission of promoting economic growth, local businesses, and regional tourism. This position oversees daily office operations, ensures excellent member services, and leads marketing initiatives to enhance visibility and engagement. The Office & Marketing Manager works closely with Chamber leadership, members, and community stakeholders to foster a thriving local economy and vibrant tourism industry.

Key Responsibilities

Administrative & Office Management

Oversee the day-to-day operations of the Chamber office, including scheduling, correspondence, and maintaining supplies.
Manage incoming calls, emails, and walk-in inquiries with professionalism and promptness.
Maintain accurate records, including membership databases, financial documents, and meeting minutes.
Prepare reports, agendas, and documents for board meetings and other key activities.
Assist with basic bookkeeping, including processing invoices, tracking expenses, and coordinating with the Executive Director/President on financial reports.

Member Services

Serve as the primary point of contact for Chamber members, addressing inquiries, processing applications, and maintaining updated membership records.
Coordinate member billing, dues collection, and onboarding processes.
Promote member businesses through newsletters, social media, and other platforms to highlight their contributions and services.

Marketing & Communications

Develop and implement marketing strategies to promote the Chamber’s programs, events, and tourism initiatives.
Manage social media accounts, websites, and email marketing campaigns to maintain an active online presence.
Create marketing materials, including brochures, newsletters, press releases, and videos, to engage members and attract tourists.
Collaborate with local businesses, tourism boards, and media outlets to enhance the region’s visibility.
Track the effectiveness of marketing campaigns and provide data-driven insights to refine strategies.
Oversee Social Media presents and website updates and maintenance for Adams County Economic Development (ACED), along with customer service tasks as assigned.

Event Management

Assist in planning and executing Chamber events, such as fundraisers, networking sessions, festivals, and tourism-related activities.
Coordinate event logistics, including registration, vendor and sponsor communication, and marketing efforts.
Develop promotional materials and ensure timely communication to members and the public regarding upcoming events.

Tourism & Community Engagement

Provide information to visitors about local attractions, businesses, and tourism opportunities.
Build and maintain positive relationships with Chamber members, local businesses, and community organizations.
Represent the Chamber professionally in interactions with the public and at community events.

Qualifications

Bachelor’s degree in Marketing, Business Administration, Communications, Tourism, or a related field (or equivalent experience).
3+ years of combined experience in office management, marketing, or event coordination, preferably in a nonprofit, tourism, or Chamber of Commerce environment.
Proficiency in Google Suite and familiarity with marketing and membership management tools (e.g., ChamberHive, Constant Contact, Canva or Adobe Express, and social media platforms).
Strong organizational and multitasking skills with attention to detail.
Excellent written and verbal communication skills.
Basic knowledge of bookkeeping and financial management practices.
Familiarity with the local business and tourism landscape is a plus.

Employment Details

Location: Adams, WI
Schedule: Full-time Monday – Friday with some nights and weekends
Reports To: Executive Director/President & CEO

Physical Requirements

Physical capabilities normally associated with office work include dexterity, sight/hearing for communicating with co-workers and outside contacts and sitting. Lifting up to 25 pounds should be expected.

Work Environment

Computer and related equipment/software, photocopier, fax machine, calculator, telephone, typewriter, paper cutter, and paper punch are used. Physical efforts, skills and mobility normally associated with a modern office are expected. Additional education through workshops, course work or seminars should be anticipated. This is a 40 hour position with unpaid half hour meal break daily. Weekend or evening work may result during periods of heavy workload or to meet special project deadlines. Position may require incidental local daytime travel.

Performance Evaluation: A member of the Executive Committee and one member of the Board of Directors will perform a 90-day, and 1-year evaluation followed by annual evaluations or at other times as needed as determined by the Board.
