Operations Coordinator

Job Summary:

Smart Build is seeking a highly organized and proactive Operations Coordinator to support leadership and drive efficiency across all departments, including sales, marketing, project management, and field operations. This role will be responsible for managing executive-level tasks, overseeing CRM and marketing activities, organizing correspondence, handling scheduling and travel arrangements, and ensuring seamless communication between teams. The ideal candidate has experience in construction operations, sales & marketing management, and executive support, along with strong organizational and problem-solving skills.

Key Responsibilities:

✅ Executive & Administrative Support

Manage the Managing Partner’s inbox, read and prioritize emails, draft and send responses on their behalf.
Organize incoming correspondence, ensuring important messages are addressed promptly.
Schedule meetings, coordinate calendars, and set up reminders for key deadlines.
Arrange domestic and international travel, including flights, accommodations, and itineraries.
Handle confidential and sensitive information with discretion.

✅ Cross-Department Coordination & Operational Efficiency

Serve as the primary liaison between sales, marketing, estimating, project management, and field teams.
Identify inefficiencies in existing workflows and implement process improvements.
Assist in managing vendor and subcontractor relationships, ensuring compliance and quality standards.

✅ Sales & CRM Management

Oversee and manage CRM (HubSpot or similar) to track leads, pipeline activity, and customer interactions.
Ensure data accuracy, reporting, and automation in CRM for sales optimization.
Work closely with the sales team to track performance metrics, set reminders for follow-ups, and maintain organized client records.

✅ Marketing Coordination & Branding Support

Assist in executing marketing initiatives, including email campaigns, social media updates, and website content management.
Coordinate marketing materials, presentations, and proposals for client outreach.
Track marketing performance metrics and provide insights to improve campaigns.

✅ Project & Task Management

Monitor project timelines and ensure deadlines are met across departments.
Facilitate reporting on key operational, sales, and marketing performance insights.
Prepare reports, presentations, and internal documentation for leadership.

Qualifications:

3+ years of experience in operations, executive support, sales & marketing coordination, or project administration, preferably in the construction, real estate, or project-based industries.
Strong understanding of construction terminology, sales pipelines, and marketing processes.
Experience managing executive email inboxes, correspondence, and travel arrangements.
Experience with CRM platforms (HubSpot, Salesforce, or similar) and marketing tools.
Exceptional organizational and multitasking abilities, with a keen attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office, Google Workspace, and project management tools (e.g., Procore, Buildertrend).
Ability to work independently, anticipate needs, and proactively solve problems.
