Social Media Operations Coordinator
Reports To: Social Media Manager

. Role Summary

The Social Media Operations Coordinator ensures that behind-the-scenes logistics, timelines, and workflows run smoothly. This role acts as the “central nervous system” of the social media department, managing schedules, clarifying task ownership, and removing potential bottlenecks so each team member can focus on delivering excellence.II. Workflow Efficiency: Keep project pipelines visible, organized, and moving forward without friction.
Cross-Team Coordination: Serve as the point person for operational needs, bridging communication among creative, analytics, and managerial staff.
Process Improvement: Identify inefficiencies and propose streamlined systems to accommodate rapid expansion
.III. Key Responsibilities
Scheduling & Task Management
Maintain a master calendar of all content releases, campaign milestones, and team deadlines.
Send reminders or prompt follow-ups to ensure timely content approvals and handoffs.
Process Documentation & Optimization
Create standard operating procedures (SOPs) for recurrent tasks like content uploads, design requests, or campaign launches.
Continuously improve these SOPs, integrating feedback from team members.
Resource Allocation
Track workload distribution across the team, making sure no single role is overstretched.
Proactively identify gaps where additional resources or freelance contractors might be needed.
Internal Communication Management
Organize meeting agendas, distribute notes, and maintain records of action items.
Ensure all relevant stakeholders have up-to-date information on campaign status, changes, or potential delays.
Coordination of Tools & Access
Manage logins, credentials, and permissions for project management, analytics, or content platforms.
Act as the point person for setting up new hires with the necessary systems and software.

Enhanced Productivity: Allow creative and strategic roles to focus on their core strengths by minimizing operational chaos.
Error Reduction: Reduce miscommunications, missed deadlines, or duplicated efforts.
Scalability: Build systems that can handle higher volumes of content and a growing team with minimal friction.
V. Daily Tasks & Long-Term Initiatives
Daily/Weekly:
Review ongoing tasks in the project management tool, ensuring everything is on track.
Resolve minor conflicts (deadline shifts, resource reallocation) and escalate major issues to the Social Media Manager.
Conduct quick check-ins with each role or sub-team to verify alignment.
Monthly/Quarterly:
Update SOPs based on new tools, processes, or brand focus changes.
Propose systemic improvements (e.g., adopting a new project management suite, reorganizing file structures).
Organize a monthly or quarterly planning session with the entire social team to review upcoming priorities.VI. Tools & Software
Project & Task Management: Asana, ClickUp, Trello, Monday.com.
Communication & Notes: Slack, Google Workspace (Docs, Sheets, Slides), Microsoft Teams.
Documentation & Knowledge Base: Notion, Confluence, or wiki-style platforms for SOPs.

Deadline Adherence: percentage of tasks completed on or before due dates.
Process Update Frequency: how often SOPs are reviewed and refined.
Team Satisfaction: internal feedback on communication clarity and workflow smoothness.
Scalability Metrics: capacity to handle increased content volume or new platform integrations without breakdowns.
IX. Collaborative Pathways
With the Social Media Manager: Align on major deadlines, campaign launches, and resource planning.
With the Creative Director: Receive strategic changes that might impact scheduling or prioritization.
With All Team Members: Act as the operational anchor, ensuring cross-team tasks flow seamlessly.

Job Type: Full-time

Pay: From $20.50 per hour

Schedule:

8 hour shift
Monday to Friday
Weekends as needed
