The Marketing Administrative Coordinator is a non-exempt position that reports to the Chief Marketing & Communications Officer. The ideal candidate will be highly organized and proactively support the Marketing & Business Development team. This role is central to the day-to-day functioning of the department and will focus on managing department calendars and events, maintaining agendas and task lists, coordinating budgets and projects, and supporting government relations efforts. Office hours are 9:00am – 5:30pm, on a hybrid work schedule (four days in the office, one day remote).

KEY RESPONSIBILITIES:

Administrative & Project Coordination:

Develop and maintain detailed agendas and task lists for marketing meetings and ongoing projects.
Track project timelines and deliverables to ensure deadlines are met.
Provide administrative support for internal and external communications initiatives.
Maintain the Marketing & Business Development and Government Relations calendars, including scheduling meetings, coordinating deadlines, and planning events.
Coordinate cross-departmental scheduling as needed.

Government Relations Support:

Assist with tracking and organizing firm efforts related to government relations and public affairs.
Support the preparation of materials for meetings with government officials or local organizations.
Maintain contact lists and correspondence records related to government and legislative outreach.

Budget & Financial Administration:

Assist in monitoring department budgets, including processing invoices, tracking expenses, and maintaining accurate records.
Help with vendor coordination and contract management for marketing-related services.

Skills & Qualifications:

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
Excellent written and verbal communication skills.
Strong attention to detail and commitment to accuracy.
Exceptional organizational and time management skills.
Ability to handle confidential information with discretion.
Strong interpersonal skills and a collaborative approach.
Bachelor’s degree preferred; equivalent administrative experience considered.

Preferred Experience:

Prior experience in a law firm, professional services, or corporate marketing department is a plus.
Familiarity with project management or task management tools is an advantage.
