Job Summary
Are you organized, detail-oriented, and eager to support a growing business with both office administration and marketing efforts? We’re looking for a Full-Time Administrative & Marketing Coordinator to join our team. This role is perfect for someone who enjoys variety, thrives on keeping things organized, and is willing to jump in where needed to help our team succeed.

Responsibilities

Manage paperwork/receipts by scanning them digitally and filing them in an organized system.
Track leads and client follow-ups to ensure no contacts fall through the cracks.
Coordinate schedules for appointments, tours, follow-ups, and ongoing projects.
Ensure project notes are kept up to date and provide weekly updates for ongoing projects to keep documentation clear and organized.
Maintain office supplies, keep the office organized, and ensure items are restocked when needed.
Act as a receptionist when in the office, answering phones and greeting visitors. (Note: Our office is closed to the public except for scheduled visits.)
Assist with marketing efforts, including creating social media content based on a provided schedule, with opportunities to contribute content ideas as well. This role involves working in a team setting and collaborating to develop engaging posts for platforms like Facebook, Instagram, and YouTube. They will also support newsletters and general outreach tasks.
Monitor social media channels for engagement opportunities and promptly respond to lead messages and inquiries.
Analyze social media metrics and prepare regular reports on performance to be presented to the office manager.
Visit job sites to capture project footage, gather content, or assist with marketing visuals.
Help prepare for events such as open houses and home shows, including loading materials, setting up displays, and assisting with tear-down. (Occasional weekend availability required, primarily in February.)
Goal to maintain 95% attendance of previous quarter (excluding approved time off)
Maintain and keep company equipment in good working condition
Follow all safety policies and procedures
Show up to work on time and prepared
Other duties may be assigned

Experience

High school diploma or equivalent required; some college coursework preferred.
Previous experience in administrative support, marketing, customer service, or office coordination is highly valued.
Experience with Microsoft Office (Excel, Word, Outlook) and general computer proficiency required.
Previous experience creating social media content or working in a marketing support role is a plus but not required.

Qualifications

Proficiency in social media platforms, design, and management tools will be helpful.
Excellent written and verbal communication skills.
Strong analytical skills with the ability to interpret data and draw actionable insights.
Familiarity with target audience analysis, SEO principles, and advertising strategies is helpful.
Ability to work independently while also functioning effectively within a team environment.
Creative mindset with a knack for generating engaging content ideas.
Experience with graphic design software such as Canva, Photoshop, or Premiere Pro is a plus.

Working Conditions/Physical Requirements

This position requires working both in-office and remotely. A minimum of 3-4 days per week in-office is expected, with flexibility for remote work when appropriate.
Occasional travel to job sites or event locations will be required.
The role involves some physical activity, including lifting items up to 50 lbs during event setup or teardown.
Weekend availability is required only for occasional special events such as open houses and home shows (primarily in February).
