Job Summary:
Are you passionate about empowering a global marketing organization to achieve its highest potential? We are seeking a Global Communications Specialist to organize and optimize processes, tools, and cross-functional collaboration within our Global Marketing and Communications team.
In this role, you will play a key part in enabling efficiency and alignment by establishing best practices, managing agency partnerships, serving as a project manager on critical initiatives, overseeing core departmental tools, and ensuring seamless information sharing.

Knowledge, Skills and Abilities:
Strong project management skills with experience in deadline management, time management and prioritization abilities. Ability to develop and manage project schedules, tracking progress and risks.

Agency Management: Familiarity with agency onboarding, management, and evaluation.
Expertise in strategically identifying and implementing best practices and standards while solving the needs of the business.
Experience:
5+ years of experience in marketing with a strong focus on process management and operational efficiency
Experience in project management is preferred.
Education:
Bachelor’s degree in Marketing, Business, Operations Management, or a related field is preferred.

For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $52,374 and $65,000 per year and may include cost of living adjustments. The actual base pay includes many factors and is subject to change and modification in the future. This position may also be eligible for other types of compensation and benefits.
Project Management
Serve as a project manager for critical departmental initiatives.
Develop, manage, distribute and maintain project schedules. Track progress against planned schedules; identify and communicate risks.
Set up project templates as needed for consistent project management across all departmental projects.
Departmental organization & best practices
Organizes and runs all Global Comms cross-functional meetings (reoccurring PA meetings, regional MarComs, etc.).
Work with Global Comms to prepare agendas prior to the meetings.
Take meeting minutes (including global and regional feedback and decisions) and action items and distribute to the working teams along with agreed upon decisions, action and follow-up items.
Identify areas of opportunity for best practices, protocols, and standards within the Global Marketing department.
Develop standardized rulebooks (i.e. approaches for style of various designs) for the team to work within.
Agency Management
Owns new agency onboarding process:
Training of marketing personnel;
Trains new agencies on CVI’s ways of working;
Distributing package of forms to be completed by new agencies;
Partner with Accounts Payable to set up vendors; and
Organization & storage of all paperwork (NDAs, MSAs, AP forms, etc.).
Manage agency bench and associated tracker including identifying and vetting potential agency partners.
Identifies, conducts RFP process, and appoints new agencies as needed.
Ownership of core departmental tools
Identifies tools that solve the needs of the Global Marketing team.
Facilitates the approval of new tools through the IT and QA intake/validation processes.
Manages all current tools, including licenses, renewals:
DAM
Smartsheets
iLearn
Point of contact for departmental queries on how tools works.
Proactively communicates relevant tool updates to the team.
Monitors existing tools for utilization compliance.
Conducts CVI employee training as necessary for tools, including developing training materials as appropriate.
For cross-organizational tools, such as eLearning and Project Management, serve as a Global Marketing representative on task force teams, identifying and representing the needs of the Global Marketing department.
Information gathering and sharing
Responsible for maintaining the department’s intranet sections, ensuring it remains up-to-date.
Ensures all eLearning content is up-to-date.
Conducts internet and industry research as needed for the team.
Pulls executive distribution press release report twice weekly. Helps review monthly media measurement reports and development of metrics dashboard for regions.
Dashboard creation and distribution as needed.
Travel Requirements :
Up to 5% travel (domestic)
This position will be hybrid, 3 days in office (San Ramon, CA or Victor, NY)
