Job Overview
We are seeking a dedicated and proactive Client Services professional to join our team. This role is essential in ensuring that our clients receive exceptional service and support throughout their engagement with our company. The ideal candidate will possess strong communication skills, a customer-centric mindset, and the ability to analyze client needs effectively. As part of the Client Services team, you will play a key role in managing client relationships and manage social media accounts including maintaining a strategic schedule for posts to Facebook, Instagram, LinkedIn, Houzz, & TikTok.
Responsibilities
Client Service & Communication
Serve as the primary point of contact for client inquiries, ensuring concerns and questions are addressed or directed to the appropriate team member.
Create work orders from client calls, salesperson requests, or from existing incomplete work orders.
Answer phones, perform intakes, schedule meetings for sales associates, and create drive-bys.
Regularly seek client feedback through focus groups & direct client interactions.
Send weekly schedule communications.
Administrative Support
General data entry and upkeep of databases.
Prepare and process landscape & snow maintenance contracts.
Handle outgoing & incoming mail daily.
Manage lawn & bed maintenance work order preparation & distribution.
Arrange the delivery & pickup of porta-johns to job sites.
Process credit card payments as needed.
Prepare weekly meetings for the sales team, including pulling relevant files.
File, scan, and conduct an annual purge of documents.
Estimating, Sold Job Processing & Work Orders
Enter estimates provided by the salesperson into LMN, editing as needed.
Process sold jobs upon receipt of signed contracts and deposits.
Enter installation-related work orders and create change orders for ongoing jobs.
Job cost completed jobs on a pre-determined schedule.
Marketing & Client Engagement
Manage social media accounts, maintaining a strategic posting schedule across Facebook, Instagram, LinkedIn, Houzz, and TikTok.
Track paid consultations and referral sources for weekly reporting.
Plan and execute client events & focus groups. • Oversee the Culture Club program.
Requirements
Proven experience in customer service or client-facing roles, preferably within a SaaS environment.
Strong communication skills with the ability to articulate ideas clearly and persuasively.
Familiarity with Salesforce or other customer relationship management tools is highly desirable.
Ability to analyze data and market trends to inform decision-making processes.
Experience in sales or account management is a plus.
Excellent project management skills with a keen attention to detail.
A proactive approach to problem-solving and the ability to work independently as well as part of a team.
